Discovery Pro 2010 Updates and Hot Fixes

 

Student Data:

·         Improved privacy: Only displays last 4 digits of the student’s social security number for privacy.

·         Student data form now allows users to enter their own student id numbers. Not required to print. barcodes but can still use the internal barcode printing feature if you desire.

·         Student email address field is now clickable for emailing purposes.

·         Shows the student’s name on all the tabs (accounting, notes, misc info).

·         Hot fix included to prevent users from entering blank or duplicate student records.

·         New button added to the prospective student form allows the user to send all email addresses to email.

·         New transcript prints theory grades, practicals and attendance information on one report.

·         New licensure survey calculates completion rates, placement rates and licensure rates.

·         Student data form fixes including last date of attendance ignores time clock records with blank hours.

·         Added 3 sets of employer fields to placement information area.

·         Added exam pass/fail fields to placement information area.

·         Added payment type drop down to student accounting.

·         Added new A/R report to student accounting.

·         Added new general ledger report to student accounting.

·         Added past due report to student accounting.

 

Time Clock/Attendance:

·         Enhanced time clock will allow students to use their college issued barcodes when clocking in.  No need to print student barcode labels unless desired.

·         Improved time clock now looks at each day of the week to determine if a student is early, tardy, blocked or reached their maximum hours for the day.  This allows a flexible student schedule.

·         Time clock shows who’s clocked in, who’s tardy and absent in real-time.

·         Improved privacy: Time Clock displays student information for only 5 seconds for privacy.

·         Improved privacy: Time clock no longer displays student id number for privacy.

·         Students can be forced to clock in with barcodes to prevent “buddy punching”

·         Students can be blocked from clocking in after a particular time of day.

·         Manual attendance entry has new button to automatically process absences.

·         New Absence Processing function looks at school closures and the schedule to determine absences.

·         Manual attendance entry has new fields to track unexcused and excused absences.

·         Modifications to the Time Clock Report and Attendance Summary include number of student absences

·         New Student Reports form allows the user to print students in one program or all programs on the same report. Accessible from the Attendance Menu.

·         All reports on the new Student Reports form can be exported into Microsoft Excel

·         New monthly status report calculates the hours offered by the school based on the school schedule and closure dates.

·         New monthly status report calculates the projected graduation date based on your criteria.

·         New monthly status report calculates the attendance percentage to demonstrate satisfactory progress.

·         Time clock no longer prompts users when tardy.  Totally hands free!

 

Clinical Performances:

·         Clinical performance software automatically calculates hours spent on a service and displays it in the summary section of the manual entry form.

·         Clinical performance report now automatically calculates hours spent on each service

·         Mannequin performances can now be entered through the cash register form

·         Improved performance list setup: Only need to create one list of performances

 

Theory Grades:

·         Assignments appear in a drop down list in the Theory Grade Entry form.  No more entering the assignments in the notes field. (chapters, etc.)

·         Improved theory grade entry using a spreadsheet format.  This allows the user to enter the header information only once (class, type, assignment) and then be presented with a list of all students in a spreadsheet format.  Grades can then be quickly entered for each student straight down a column.

 

 

Cash Register:

·         Hot fix for the cash register when you check out from the scheduler.  All information now appears on the cash register, client name, student name, service and price. Other cash register hot fixes.

·         Cash register no longer requires the user to enter a student id number when completing a transaction.

·         Cash register modified to force the user to enter an amount tendered equal to or greater than the total.

·         Cash register modified to track all order numbers even cancelled or deleted ones to help with auditing. No more gaps in sales transaction order numbers.

·         Cash register detail sales transaction report modified to give you a total of sales by each program

·         Edit sales transactions from the system admin menu – problems fixed

·         Daily floor report modified to give you a total of sales by each program.

·         Cash register activity tool bar option includes a till count to help you count up your drawer at end of day.

·         Improved gift certificate functions. When clients pay with a gift certificate the certificate will not be accepted if there is not enough on the card to cover the transaction.

·         When clients pay with a gift certificate the certificate balance will be calculated and displayed.

·         Once a cash register transaction is completed a message will pop up if any change Is due.

·         Hot fix: If a transaction is cancelled, student performances will not get added to the performance table.

·         New LAST TRANSACTIONS button on the cash register form to allow you to view the last 20 sales transactions.

·         Cash register will automatically position the student drop down list to the last student selected when entering multiple services so you don’t have to type in the student name on each line.

·         Cash register will allow the user to scan retail products using the manufacturers UPC barcode on the product.  No need to print product labels anymore.

 

Security:

·         Improved security features including only admin users can view the student accounting information.

·         New built in login for the scheduler. No other options are available to the user except the scheduler.

·         Only display last 4 digits of student’s social security number in the student data record.

 

Appointment Scheduler:

·         Automatically assigns a color code to each Program.  Student names appear in the color associated with their program. Can filter the scheduler to only show students in one program or all programs.

·         When a client is checked in the whole cell turns red instead of just the client’s name.

·         When a client is checked out the whole cell turns green instead of just the client’s name

·         Scheduler now displays more columns and rows across and more rows down.

·         New control tip text feature displays the full client name, the full service and the client phone number when you mouse over the appointment cell.  No need to edit the appointment to see this information.

·         Hot Fix: Scheduler will ignore bad attendance records (records with 999 for activity type).

·         Quick Add Client form will check to see if the client you are entering has already been entered.

 

Compatibility issues with Office 2007

·         No more security warnings when opening Discovery Pro on computers running office 2007

·         Hot fix to eliminate errors some users received when trying to print reports from the RUN STUDENT REPORTS menu option on computers running Access 2007.

·         Provides improved compatibility between Vista, Windows 7 and Office 2009/2010

 

Misc Updates:

·         New Setup Closures item on the setup list to allow user to enter their school closure dates. This information is used to process absences and calculate the school’s offered hours.

·         New Setup Assignment item on the setup list allows the user to setup assignments (Milady chapters)

·         About Discovery Pro item on the setup list modified to display the location (path) of the databases

·         Able to print a client ticket even if you do not use the appointment scheduler.

·         Client Maintenance will check to see if the client you are entering has already been entered to avoid duplicates.

·         Improved Inventory Control: Inventory product entry form has a new UPC field to allow the user to scan the manufacturer’s barcode when setting up the product so you do not have to print product labels.

·         Includes report hot fixes and enhancements in many categories.

·         Improved application performance.

·         Provides fuller integration to MS Office Excel.
